Decide what needs a meeting and what can happen in writing

Separate announcements, written requests and topics that need a shared live exchange.

What you’re working towards

A channel plan for a mixed agenda, with a concrete written ask for asynchronous items and a reason for each live discussion. This is an authored practice example; no consumer AI run has been recorded.

Make a start

One step at a time.

2 steps

Start with the synthetic worked example or other non-sensitive inputs. Run one prompt at a time in your chosen AI tool. Replace any bracketed placeholders with the requested material, check each reply, and supply the source or earlier outputs that step needs. Paste them again if the tool lacks that context.

Start with the synthetic example, then adapt each prompt to your task.

01

Try the complete example

Open a new chat in a text AI assistant you already have permission to use. Paste all of Input from this guide, then the prompt below, in one message. Do not paste Output: that is the illustrative answer for comparison. Expect a written result that will separate announcements, written requests and topics that need a shared live exchange. Different wording is fine; the source facts and rules must agree. Check it yourself: T1 is a written announcement of Birch replacing Cedar, with no reopened decision. T2 names both label options and requests a choice/reason while holding the exact Thursday deadline. T3’s live recommendation follows the actual simultaneous table conflict; availability, duration and resolution remain unknown. If a check fails, paste: “This part is wrong: [quote it]. My source says: [quote the exact line]. Return the complete corrected result and explain the change.” Recheck before saving; if the source itself is incomplete, keep that part unresolved.

Your starting prompt
Recommend written announcement, asynchronous written request or live discussion for each topic, with a reason tied to the needed outcome. Write complete draft text for the written items and a purpose/participant/preparation note for the live item. Preserve decision rights and deadline gaps; do not force consensus or schedule.

Use only the complete synthetic input pasted above. Return the finished written result. Keep missing facts unknown. Do not send, publish, order or change another service.
02

Use your own input

For your own version, open a new chat. Paste the prompt below after replacing every bracketed field. Replace related IDs, quantities, dates, rules and limits together; none of the practice facts carries over. Expect the same named deliverable using your source. Review it yourself: check that a written request names the needed response and that any live recommendation follows a real interaction need, not merely a topic label. If a check fails, paste: “This part is wrong: [quote it]. My source says: [quote the exact line]. Return the complete corrected result and explain the change.” Recheck before saving; if the source itself is incomplete, keep that part unresolved.

Your starting prompt
Choose a communication mode for each of my topics based on the required outcome, dependencies, decision rights, response windows and stated need for real-time exchange. Produce concrete written asks for asynchronous items and a purpose, needed roles and missing logistics for proposed live discussion. Preserve unknowns and do not treat silence as agreement, decide for owners, send or schedule anything.

MY INPUT
Topics and required outcomes: [replace with your own complete non-sensitive details, or state unknown]
Known dependencies: [replace with your own complete non-sensitive details, or state unknown]
Decision rights: [replace with your own complete non-sensitive details, or state unknown]
Response windows: [replace with your own complete non-sensitive details, or state unknown]
Supplied reasons a live exchange may be needed: [replace with your own complete non-sensitive details, or state unknown]

Use only MY INPUT for facts and constraints. Ask for an essential missing fact or conflicting rule before deciding; do not import practice-example names or numbers. Return the complete result plus unresolved questions and a source-based check list. Do not send, publish, buy, schedule or change another service.
Optional: improve the result

Reassess after the conflict disappears

Choose the mode from the changed need rather than keeping a meeting by habit. This optional extension uses only the synthetic example. Return to the sample chat, or paste its full Input into a new chat first. Do not transfer the changed sample values to your own input.

Advanced prompt
For the synthetic T3 only, suppose the Activity Owner confirms the demonstration no longer needs the long table and the Coordinator confirms the layout. Reassess the communication mode and draft a short factual update from those new facts. Do not claim the update was sent.
Show, then try

This input is synthetic. The output is a written illustration of the intended result, not a verified AI-tool run.

The starting point

Synthetic input
Synthetic practice input. All names, products, records and policies below are invented.

Fictional team can all read and respond to one shared note.
T1: announce a confirmed room change for the next workshop, from Cedar room to Birch room; date and time are unchanged but not supplied in this exercise. No decision required.
T2: collect preferred wording for a label, choosing between “Materials desk” and “Supply desk.” Responses needed by Thursday; the calendar date and cutoff/timezone are not supplied. Label Owner makes the final decision after collecting preferences; silence is not approval.
T3: resolve two incompatible layout requirements: Display Owner needs the only long table for prints; Activity Owner needs that same table for a demonstration at the same time. Both owners need to examine trade-offs together. The Coordinator has final layout decision authority. No acceptable compromise, meeting availability or duration supplied.
Need a mode recommendation with a reason for each topic, draft written messages and the purpose of any proposed live discussion. Do not send or schedule.

Copies text only. For image or file tasks, use the source files named in the steps too.

The intended result

Illustrative output
Illustrative answer authored for this guide; not a recorded AI response.

Channel plan
T1: written announcement. The room change is already decided, and everyone can read the shared note. No live decision is needed.
Draft: “The next workshop has moved from Cedar room to Birch room. The date and time are unchanged.” Confirm the actual event context before using this standalone message.

T2: written, asynchronous request. Asynchronous means people can reply at different times within a shared response window. The task is to collect two-option preferences; the Label Owner retains the decision.
Draft: “Which label do you prefer: ‘Materials desk’ or ‘Supply desk’? Please add your choice and a brief reason by Thursday [confirm calendar date, cutoff time and timezone]. The Label Owner will make the final choice after reviewing responses.”
Hold the draft until the deadline is precise. Non-response must not be counted as approval.

T3: propose a live discussion. Both owners need to examine a direct resource conflict together; a live exchange may help test possible trade-offs.
Needed participants: Display Owner and Activity Owner for the conflicting requirements, plus Coordinator for the final decision.
Purpose: establish the two needs, examine any acceptable options supplied by the owners, and let the Coordinator choose or record why a decision remains blocked.
Preparation: each owner states the essential need and any flexibility. No flexibility is assumed.
Availability and duration: unknown; check separately before scheduling.

No meeting is booked, no choice is made, no consensus is claimed and no draft is sent.

You’re the final check

Check the worked example.

These checks use the worked example and its particular facts. With your own material, check your actual names, numbers, sources and rules; do not reuse the sample’s values as the answer.

Unsaved checks stay in this tab and reset when you reload. If you choose Save guide, its current example checkmarks are kept in this browser when storage is available.

A few things to watch for.

  • A topic being important does not automatically make a meeting useful. Ask what interaction the outcome requires.
  • Collecting preferences is not the same as delegating a decision or treating silence as consent.
